Room Request Form for Film Events

WHC event spaces may be reserved only by Yale-affiliated programs and organizations.  

There is no charge for events held at the Center, and all Whitney cosponsored events are free and open to the public.

People interested in reserving WHC spaces should use this form and consult our policy page for important information and policies. Those requesting a room for a film screening, please also complete the Projectionist Request Form. Screening organizers are responsible for projection fees and securing public performance rights.

Whitney event spaces available for use by Yale University personnel:

(Room 120)

Seats 240. Offers full classroom and cinema projection. Default, podium only.
There are five stairs to reach the stage in the Auditorium.
Room 108 Default 32 for lectures. Accommodates 70 for receptions. Generally not available during business hours. Default, 6 square tables.
Room 208 Seats up to 70 for lectures, with podium and projection (default, 50 seats). Accommodates 60 for receptions, 15 for seminars.
There is no elevator in the building, so access beyond the first floor is limited to stairs.
Rotunda Accommodates 30 for receptions with one central and one side table.

Projectionist Request Form

This form goes to Classroom Technology and Event Services (CT&ES), which will arrange for the projectionist service. CT&ES must receive the completed screening reservation form at least three weeks in advance of the screening date. It is important to observe this deadline: CT&ES cannot guarantee the availability of a projectionist with fewer than three weeks’ notice. Please use the Notes field in the Projectionist Request Form to request any mics needed for speaker(s) and/or audience, and any other AV needs. If you have questions, it is strongly advised that you contact Anthony Sudol to discuss your screening needs before submitting this form.

Custodial Services:
Custodial services are required for most events that change the default setup for a room and all events that involve catering or take place over the weekend. Please discuss with Sara Carrigan what your room setup needs are. Here is a template for submitting an online custodial request. This template includes a link to the online request form.
